Workflow for project and Communication

Welcome to a guide of how to setup project

How we setup a project and work with backstages-chat and the timeline

  1. Add a good Picture, a Title, Thirdroom as the organisation, the person in charge of the project should be added as the contact-person and in abstract filed, the mission with this project is stated.

  3. Add a link to a google drive folder that you setup with the same title as the project in our Thirdroom shared folder: this is to be used for file sharing etc.
  4. Also add in other needed links or files directly, that are important resources for the project process and its outcomes.
  5. Use first milestone/post to explain how the timeline is to be used (as done here in this post)
  6. Add Katja and/or Alfred as mentors to the projects

Your projects - Backstage Chat

  1. Use the backstage chat to communicate with the team on this project, right now its not setup for mail communication so check it regularly and always before you start work, along with adding your status before you leave that days working.
  2. Since we cannot share pictures or files in here yet, they are loaded to the google drive folder you setup for the project and shared in backstage through links.
  3. When a project is accomplished - make a post in Thirdroom Aps- NEWS panel about it, so the rest of the team can see it!

Working in the milestones- communicating to your team and the world

  1. what is published in the milestones/post on the timeline should include the "challenge/problem" worked on with in this milestone,
  2. use pictures, films ect to show, document and demonstrate on the way
  3. Remember to upload the outcomes and finish up the milestone with a text explaining what the "conclusion/solution" consisted of.
  4. When the milestone is accomplised, share it with the whole Thirdroom team in the the backstage/chat room of this project.

The Thirdroom team chat/backstage room

  1. The backstage room, attached to this project timeline, is our Central Channel, this will take over for our Skype channel
  2. Since we cannot share pictures or files in here yet, we share the team pictures on our Thirdroom Aps, NEWS ROOM, and the files or other pictures are loaded to google drive in folder with called the same as this project and shared in backstage/chat through a a link.
  3. Please check the chatroom a couple of times a day, since it does not have mail notifications yet.

A suggestion of a Daily Workflow

  1. Log in to you mail, open your to do and calendar - open your project on Thirdroom.org, chek´in to the chat/backstage of this project to let others know you are now working.
  2. Coordinate on skype or live with your team, add more todo´s to our mutual timesheet, if you need to.
  3. Work, and when arriving, making or accomplishing insights, add them to the milestone in the project where they belong, or if new, create a new milestone.
  4. Communicate with the team
  5. Before logging out do a quick hours add in to timesheet, tick off tasks accomplished/add in new and let the Thirdroom team know you are checking out for today, and how to get a hold of you if something is urgent!
